Community Meeting

Committee meetings can be practically productive if they are always prepared beforehand. When an organization’s manager appoints a committee, he/she has to be specific about the committee’s objectives (McConnell, 2010). The responsibility for community meeting arrangements lies in the hands of the Chairperson together with the committee secretary. I happened to attend a health care organization committee meeting, which was planning on how to assist the surrounding community with environmental programs to eliminate common illnesses. Apart from the Chairperson and the Secretary, the committee also comprised of the treasurer, publicity secretary, women representative, community representative, and members. This committee worked as a shared government, as each member took his/her role to accomplish the task ahead.

The chairperson’s duty was to ensure that all the plans were conducted efficiently and according to the group’s constitution. As the coordinator of committee’s policies and procedures, the chairperson ensured that all points were addressed in the meeting through controlling the debate. The Secretary kept the minutes of the meeting, maintained committee records, and circulated the agendas. The treasurer kept charge of keeping financial records while the publicity secretary carries out the task of publishing bulletins, sending mails, and arrangements of all community publicity. As the chairperson runs the meeting, all members are expected to play their parts through asking questions and clarify opinions of other members. They are also advised to avoid distracting others, in addition to shunning conflicting ideas.

The chairperson commenced the meeting by asking the secretary to read the prior minutes, of which members approved. He then allowed the secretary to read the day’s agendas, as the discussion began. Among other plans, the secretary informed the members that the committee is planning to hold a seminar each month to enlighten the community on potential dangers that surround their environment. The treasurer contributed by stating that the committee does not have enough funds to carry all the proposed plans, thus, more funds should be sought if the plans have to succeed. The committee members aired their views in every agenda, as they propose on some changes before reaching at the final decision. For the members who wished to oppose the day’s agendas, the Chair advised them to ask for a chance to explain the same.

Mutual respect had to be considered in community participation. In addition, all activities, as well as decisions made by the health care committee members had to be monitored to facilitate the process analysis and identify areas to be modified (Gofin, J. & Gofin, R., 2011). The chairperson also permitted some committee members to talk about matters not included in the agenda, which also did not necessarily deal what the committee was discussing. The Chair asked whether any member had something that he/she wished that the Committee should consider before making the final decision. No one was allowed to contribute on every report, and each member was allocated three minutes to contribute towards the day’s agenda. The chair requested the publicity secretary to act with haste to publish the outcomes on the committee’s website, in addition to informing the community of the anticipated plans.

Committee meetings are held to propose on how to handle a specific task and to offer solutions to particular problems. In this case, the committee members worked as shared governance, as each member is permitted to contribute towards assisting the community. Shared governance involves working together and arriving at a decision based on partnership, accountability, equity, as well as rights during the time of service (National Labor Relations Board, 2012). The committee empowers every member to have an influence in decision-making process. It is quite hard for committee members to work without harmony.
