The report is meant to address information management system in the Globcom IT organization. The report follows the recent claims that the organization has been undergoing major flaws in its database management. The staff data has been found to be inconsistent with that database, the staff has not been well trained to use the new system efficiently, and the reasons why the staff prefers not to use the new system.

1.1 About the Organization

Globcom is an IT organization in the Sultanate of Oman. An organization that provides high-quality technology solutions together with staff is responsible for helping the staff to support their services. The organization has more than six business partners and four partners in technology. These are Oracle, Microsoft, and Sun. Some of their technology services include network management, management of the computer security, the desktop management, the applications management, printer services, help desk services, and the IT operation services desk. In the applications sector, the organization has the following to offer: web development and support, application and/web testing, performance engineering and application engineering.

These packages of the application are installed in the organization with or without customization. The organization also engages in implementing other non-IT activities such as human resource. The organization’s staff is a global staff that work in other organizations and they are are the contractors. Their data is stored in both the organization they work in and globally.

2. An Information Management Investigation (The Information Audit)

Auditing was done to determine the organization’s way of operation. The audit was done in seven stages than included planning, the actual data collection, analysis of data, data evaluation. The recommendations were communicated after which recommendations were implemented. The information audit continuum followed this.

The audit group has selected the participants to give the information about the staff that works in PDO through global. However, some of these participants declined to enclose their names of position. All the staff had been logging their call and work daily, but a new system had been placed in a position for their logging needs. In addition to these, some staff had been moved from one department to another.

The group then made the questionnaires since this was the most appropriate means of reaching the participants. All the questionnaires were sent by mail due to vast distances involved. The questionnaires were sent to participants, whom are the staffs working in different departments within the organization. The participating staff was to answer the questions in the questionnaires and then send back the answers via the email. The data was collected effectively and analyzed.

3. An Information Management Strategy

After analyzing data that was collected from the participants, the audit group curtained that the organization had flaws, which needed to be addressed. The information was not being managed effectively as required. Therefore, the audit group had to come up with various recommendations to help the organization curb the challenge.

First, the organization has to manage the complexity. New approaches have to be found so that information can be managed better to be able to solve the complexity that had set in. then, the organization has engaged the staff in solving the complexity that had set in. Globcom has to look means of engaging the staff as much as they can, because the challenges they are facing cannot be solved in just installing software centrally. In addition, this will be necessary for the staff to own the idea and thus making it easy for them to adopt it.

Globcom needs to deliver tangible and visible benefits. The benefits that the staff stands to gain should be clearly spelled out to them. This involves identifying business needs that they must be met. Management of data should not only involve benefiting the managers of the organization alone. This is why staff members fail to disclose their information.
Prioritization of the business needs is something that should be considered in a great deal. The priority should be deployed to those decisions that are to the interest of the business and not the cost or the technology used. Globcom needs to put in place the support needed the staff to be able to use the new technology, and they need to be trained on the use of it. Most of the staff members may be not ready to adopt the technology mainly because they do not know how to use it.

There is a need to communicate extensively. It is not possible to force a command to the staff. Instead, the organization needs to communicate the clear endpoints that should be communicated widely for everybody to understand.
